Create and track a change order

Before you start

  • The original job already exists.
  • You know whether the change applies only once or to future recurring visits too.

What a change order is for

Use a change order when the work changes after the original quote or job was accepted. Common examples are extra cleanup, added materials, removed scope, a new visit requirement, or a customer-approved upgrade.

Do this

    Open the job

    Go to Schedule, Jobs, then open the job that needs the change.

    Add the change

    Use the job's change-order or scope-change action. Describe exactly what is being added, removed, or priced differently.

    Choose one visit or the whole series

    For recurring work, confirm whether this change applies only to the current occurrence or every future visit in the series.

    Get approval before crews rely on it

    Send the change for customer approval when approval is required. Do not treat unapproved scope as billable until the status is clear.

    Check the invoice before sending

    When the job is ready to bill, confirm the approved change order appears on the invoice with the expected amount.

Before invoicing

  • The change order status is approved or otherwise accepted by your office policy.
  • The added or removed work appears in the job scope.
  • Crew notes and customer-facing notes do not contradict each other.
  • The final invoice total includes the approved change.

If the customer says the invoice is wrong

Open the job timeline and compare the original quote, approved change order, completed job details, and invoice lines. Most disputes come from a change that was discussed but never approved or never carried into the invoice.
