Before you start

  • A job exists under Schedule → Jobs.

What you'll learn

Schedule → Jobs lists every job with Today, In Progress, Needs Crew, Needs Invoicing, and Overdue filters, four money tiles (drafts to send, uninvoiced balance, planned milestones, payment due), and Export CSV / PDF. Click a row to open the job page, which is the single place to see what the crew needs, what the customer owes, and what happened.

Jobs list

Top of the job page

  1. 1

    Action bar

Join this job adds you to the crew for this visit. Start Job and Mark as Completed change status from the office (crews normally do this from the app). More Actions holds reschedule, cancel, and the other rarely used actions.

  2. 2

    Status badge

Active (scheduled), In Progress, Late Visit (past its window without a start), Completed, Canceled, Awaiting deposit, Reschedule. The list's Needs Invoicing filter shows completed jobs with an unbilled balance.

  3. 3

    Ready for crew checklist

Seven or eight checks: customer contact, service address, schedule window, crew assignment, scope and services, crew instructions, photo requirements, billing plan. Fix anything amber before the crew leaves.

  4. 4

    Invoice readiness

Not ready yet until the work is complete or a milestone is due. Contract, invoiced, paid, and remaining sit next to View Quote and Review & Send Remaining, which opens the invoice builder for the unbilled balance.

  5. 5

    Crew execution trail

A timeline of what happened: scheduled, started, on my way, arrived, paused, photos, notes, materials, completed, with who and when.

Further down

  1. 1

    Job details and Product/Service

Customer, property, billing contact, job type, dates, time zone, invoice status, job notes, and the line items with quantity, customer price, internal cost, and line total.

  2. 2

    Billing Summary and Payment Schedule

Contract amount, invoiced, paid, outstanding, remaining uninvoiced, planned milestones, and linked invoices. Completed work billing shows the percentage the crew reported complete and the progress draw available.

  3. 3

    Materials & Chemicals, Field Execution

Materials the crew logged, and the checklist items, equipment, and training modules attached from the services.

  4. 4

    Change Orders

Change scope records added work, a price change, or instructions after the job was booked; approved changes flow into billing. See the change orders article.

  5. 5

    Labor and Expenses

Labor shows tracked time, labor cost, estimated labor, and per-member hours and rates. Expenses lists receipts logged by the crew or added here with Add Expense, split into billable and job margin.

  6. 6

Internal notes & images, Job activity, Job Profitability

Office-only notes and photos; a full audit trail; and revenue, total cost, gross profit, and target gap for this job with a profitability breakdown.

Reschedule or cancel

  1. 1

    Reschedule

More Actions → Reschedule, or drag the job on the Calendar. Moving to another day updates the customer's reminder and removes the stop from any built route; a same-day time change keeps the route stop.

  2. 2

    Cancel

More Actions → Cancel. The job keeps its history, the customer can be notified, any built route drops the stop, and a deposit invoice that was already paid stays on the customer's account as credit until you refund or apply it.

  3. 3

    Reset progress

If a crew started the wrong job, More Actions → Reset progress returns it to Active without deleting notes or photos.

Crew Review and Field Issues

Two owner screens sit next to the job list for anything crews flag or leave unfinished: Schedule → Jobs → Crew Review (closeout blockers, open issues, timesheets, material warnings) and Schedule → Field Issues (everything crews reported from the field).
