What you'll learn
Zentive has three sign-in paths (business, crew, customer) and five roles. This page tells you which screens each role sees so you can set up your team without over-sharing pricing or customer data.
Owner
- Signs in at app.zentive.io/sign-in.
- Sees everything: Dashboard, Customers, Message Center, Schedule, Service Agreements, Financial Management, Reports, Settings, and My Subscription.
- Only the owner can change the plan, the billing card, and close the account.
- Can also do field work through My Work (Assign to me on a job), clock in on the crew timesheet, and appear as a crew member.
Co-owner
- Added from Settings → Team → Add co-owner. Signs in at the business sign-in.
- Same screens as the owner for daily work: customers, jobs, quotes, invoices, agreements, reports, and settings.
- Cannot change the Zentive subscription or close the account.
Crew member (employee)
- Signs in at app.zentive.io/crew/sign-in after accepting the invite email or text.
- Sees the crew app only: Today's jobs, Route, All my jobs, Time (timesheet), Training, Agreements, Work History, Settings, Profile.
- Sees only jobs assigned to their crew or to them personally.
- Pricing on jobs is hidden unless you turn it on for that employee in Settings → Financial Permissions (Employee permissions link on the crew page).
- Can add customer-visible notes, internal notes, photos, materials, expenses, and field issues on their jobs.
Foreman
- A crew member marked as the crew's leader when you build the crew.
- Gets the crew-wide controls on a job: On my way and Arrived, closeout approval, and the foreman panel on the job view.
- Same financial visibility rules as any other crew member.
Customer
- Signs in at app.zentive.io/customer-portal/sign-in, or opens quote and invoice links without an account.
- Sees their own quotes, invoices, payments, agreements, service history, locations, messages, and notification preferences.
- Never sees internal notes, internal costs, or other customers' data. The portal shows your business's branding, not Zentive's.
Financial visibility per employee
Settings → Financial Permissions lists every employee with a toggle for seeing prices and totals on jobs and quotes. New employees start with pricing hidden. The setting also controls what the employee sees in the crew app's job scope card.
